Responsible for performing a variety of accounting, bookkeeping and financial management tasks, Procurement activities as well as facilitation of Student’s registration and examinations logistics and payments.

  1. MAIN PURPOSE OF THE JOB
Responsible for capturing daily financial transactions and the preparation of daily and weekly Finance department reports. To performing bank reconciliations and record transactions in accounting software programmes (e.g. Pastel) to process business transactions. To facilitate and process expense vouchers, receipts and purchase orders, as well as to facilitate all financial matters relating to Students’ registration and examination bookings in Students Registration Systems(e.g ACCA UTX portal)

A successful Finance Assistant should be familiar with all accounting procedures and have a flair for numbers and should ensure that CAS daily accounting functions run accurately and effectively.

 

 

  1. DUTIES
3.1 Facilitation of payments for Student’s registration with programme owners – (ACCA UTX e.t.c)

 

3.2 Checking and verifying ACCA, CIMA and CIPFA invoices prior to payment to ensure the correct students are being paid for;

 

 

3.3 Reconcile UTX invoices against NMDS students’ listings and ensure completeness and accuracy;

 

3.4 Communicate any irregularities in UTX invoices and follow up with relevant parties for corrective actions;

 

3.5 Regularly monitor the UTX for new invoices raised and ensure they are settled within their due dates;

3.6 Provide accounting and clerical support to the Finance Department;

 

3.7 Type accurately and prepare and maintain accounting documents and records;

 

3.8 Prepare bank reconciliations, general ledger postings and statements’;

 

3.9 Under the guidance of Finance Officer, reconcile accounts in a timely manner;

 

3.10      Preparation of quarterly reports for Government subvention fund for claiming;

 

3.11      Enter key data into the financial transactions software system – Pastel;

 

3.12      Provide assistance and support to the Institiutions’ personnel with regards to financial matters;

 

3.13      Under the supervision of Finance Officer, manage petty cash transactions;

 

3.14      Facilitate the budget process and coordinate departmental submissions into the master budget;

 

3.15      Maintain contractors’ schedule and advise in time when contract durations approach their end;

 

3.16      Facilitate quarterly evaluations of contracted suppliers;

 

3.17      Maintain suppliers database and ensure that they are vetted accordingly;

 

3.18      Update the Fixed Asset Register regularly with acquisitions and disposals;

 

3.19      Track physical locations of assets and ensure that they bear unique asset codes;

 

 

3.20      Any other duties that fall within the remit of Financial and Management Accounting as may be assigned from time to time;

 

3.21      Any other other duties meant to meet CAS objectives which may be assigned from time to time;

 

 

 

  1. Qualifications and Experience
 

CIMA Operational, Certified Accounting Technician or ACCA Diploma in Accounting, Finance or related field with at least 5 years’ experience within purchasing, budgeting, financial reporting and cash management

OR

CIMA Management, General Accountant, Bachelor’s Degree in Accounting with at least 2 years’ relevant experience.

 

Other skills

·         Excellent computer skills, Microsoft office suite knowledge

·         Competency in accounting software implementation plus (Pastel)

·         Familiarity with bookkeeping and basic accounting procedures

·         Accuracy and attention to detail

·         Aptitude for numbers

·         Ability to perform filing and record keeping tasks

·         Data entry and word processing skills

·         Well organised
